Every KIMISUITE workspace comes with four apps that cost nothing: Calendar, Contacts, Notes and ToDo. As of 11 September, Calendar, Notes and ToDo have been rebuilt, and Contacts is new: the 23rd app on the platform. This post explains what each one does, how they work together, and where their limits are.
Why the free apps exist
Before a business adds CRM Business Hub or Service Manager, it already needs a shared calendar, an address book, somewhere to write things down and a list of what is still open. These basics belong to the workspace itself: no trial, no plan, nothing to cancel. You create a workspace and they are there.
Calendar
A calendar for you and your team, with four views: month, week, day and agenda. Week and day open at your first appointment instead of midnight.
- Appointments with location, a separate field for the meeting link, a label and a reminder (from 5 minutes to 1 week before)
- Recurring appointments: daily, every weekday, weekly, monthly or yearly
- A preview on click: one click shows when, how often, which calendar and where, with Edit and Delete underneath
- Several calendars, each with its own colour, shown or hidden with one click
- Labels as filters, plus a search that finds appointments outside the visible month
On your phone and in other programs:
- CalDAV in both directions for Apple Calendar, Thunderbird and your phone. A change made on your phone appears in KIMISUITE, and the other way round
- A read-only subscription link for Google Calendar and Outlook. They show your KIMISUITE appointments but cannot change them
- External calendars, such as public holidays, can be subscribed to by iCal address and shown next to your own

Contacts
The new app: a shared address book for the whole workspace. Name, company, position, several phone numbers with type and country code, several email addresses, websites and addresses, a photo and a note.
- A list with an A–Z index and search by name, company and position
- A contact card that opens next to the list, with Edit and Delete
- Cards on the phone: in the mobile browser every contact is a card with buttons to call or email
- CardDAV puts the address book on your iPhone or Android phone. The app includes short instructions for both, and names DAVx5 as the app to use on Android
Contacts is an address book, not a CRM. There is no pipeline, no revenue and no tasks attached to a contact. There is also no import or export today, so existing contacts are added by hand or synced in through CardDAV. When you need sales and invoicing, that is what CRM Business Hub is for.
Notes
A board of note cards with a title, text and a colour, for everything that would otherwise end up on a sticky note on the screen.
- Pin important notes to the top
- Ten colours, applied to the whole card
- Open and edit a note in a side panel, saved when you leave the field
- Search across titles and text, live as you type
- Private or shared. New notes are private. One click on the lock shares a note with the workspace, and filters show all, private or shared notes
Notes keeps titles and plain text. There are no folders, formatting or attachments. It is a notes board, not a knowledge base.
ToDo
A deliberately small task list: one field, one line per task.
- Tick off, pin and colour tasks
- A deadline: today, tomorrow, next week or a custom date, with an optional time
- A description of up to 500 characters in a side panel
- Private or shared, visible on every line
- Filters for all, open and done, with a progress count, and a live search
There are no subtasks, assignees or projects. When a team needs those, Task Hub is the next step.
How the four work together
The four apps are connected:

Free, and what changes with the first paid app
The free apps work in a free workspace. When you subscribe to your first paid app, 10 workspace members are included, and your team uses the same calendar, contacts, notes and tasks alongside it. Billing is per workspace, not per user, as we explained in priced per workspace, not per user.
