Acceptable Use Policy

1. Purpose

This Acceptable Use Policy ("Policy") forms part of the KIMISUITE Terms and Conditions.

Its purpose is to protect KIMISUITE, its Customers, users, partners and infrastructure by defining acceptable and unacceptable use of the KIMISUITE platform.

By accessing or using any KIMISUITE Service, you agree to comply with this Policy.

Failure to comply may result in suspension or termination of Services.


2. Scope

This Policy applies to:

  • all KIMISUITE websites;
  • all KIMISUITE applications;
  • customer workspaces;
  • free applications;
  • paid applications;
  • uploaded content;
  • hosted websites;
  • widgets;
  • AI-powered features;
  • integrations;
  • customer accounts;
  • all users invited to a workspace.

The Workspace Owner is responsible for ensuring that all invited users comply with this Policy.


3. General Principles

Customers must use KIMISUITE responsibly, lawfully and in a manner that does not interfere with the rights of others or the operation of the platform.

You agree not to use KIMISUITE in any way that:

  • violates applicable laws;
  • infringes intellectual property rights;
  • infringes privacy rights;
  • threatens platform security;
  • harms other users;
  • damages the reputation of KIMISUITE.

4. Illegal Activities

You must not use KIMISUITE to:

  • commit or facilitate criminal offences;
  • violate sanctions or export control laws;
  • conduct fraud;
  • impersonate another person or organisation;
  • create fake identities for unlawful purposes;
  • distribute illegal content;
  • promote illegal activities;
  • facilitate money laundering;
  • conduct phishing attacks;
  • engage in identity theft.

Any suspected criminal activity may be reported to the appropriate authorities where required by law.


5. Harmful Content

You must not upload, store, publish or distribute content that:

  • is unlawful;
  • is defamatory;
  • is abusive;
  • is threatening;
  • promotes violence;
  • promotes terrorism;
  • promotes hate speech;
  • exploits children;
  • infringes copyrights;
  • infringes trademarks;
  • infringes patents;
  • infringes privacy rights;
  • contains malicious code;
  • contains ransomware;
  • contains spyware;
  • contains viruses.

Customers remain solely responsible for all content uploaded to their workspaces.


6. Intellectual Property

Customers may upload only content for which they have sufficient rights.

You may not:

  • upload pirated software;
  • distribute copyrighted material without permission;
  • use copyrighted logos unlawfully;
  • copy third-party websites;
  • reproduce proprietary documentation without authorization.

KIMISUITE may remove infringing material upon receiving a valid legal notice or where infringement is otherwise apparent.


7. Security

Customers must not attempt to compromise the security of KIMISUITE.

Prohibited activities include:

  • bypassing authentication;
  • exploiting vulnerabilities;
  • scanning infrastructure without permission;
  • attempting privilege escalation;
  • password attacks;
  • credential stuffing;
  • brute-force attacks;
  • denial-of-service attacks;
  • reverse engineering platform security;
  • introducing malicious software.

Security testing is permitted only with prior written authorization from KIMISUITE.


8. Platform Integrity

Customers must not intentionally interfere with the operation of the Services.

Examples include:

  • excessive automated requests;
  • resource exhaustion;
  • intentional overloading;
  • abusive scripting;
  • automated account creation;
  • manipulation of billing systems;
  • abuse of free trials;
  • repeated creation of accounts to avoid subscription fees.

KIMISUITE reserves the right to introduce technical limitations or rate limiting where necessary to protect platform stability.


9. User Accounts

Customers are responsible for maintaining the security of their accounts.

You must not:

  • share login credentials outside your organisation without authorization;
  • sell user accounts;
  • rent accounts;
  • transfer workspaces without authorization;
  • allow unauthorized persons to access paid subscriptions.

The Workspace Owner is responsible for managing invited users and user permissions.


10. Data Protection

Customers must use KIMISUITE in compliance with applicable data protection laws.

Where Personal Data is processed, Customers are responsible for ensuring they have an appropriate legal basis for such processing.

Customers must not upload Personal Data unlawfully or in violation of applicable legislation.


11. AI Services

Some KIMISUITE applications include AI-powered functionality.

Customers must not use AI features to:

  • generate unlawful content;
  • facilitate fraud or deception;
  • create phishing material;
  • generate malware or malicious code;
  • intentionally spread misinformation;
  • infringe intellectual property rights;
  • violate privacy rights;
  • impersonate individuals or organisations for unlawful purposes.

Customers remain solely responsible for all AI-generated content created or used within their workspaces.

KIMISUITE may restrict or disable AI functionality where misuse is detected.


12. Email and Communications

Where KIMISUITE provides email, messaging or communication features, Customers must not use them for:

  • unsolicited commercial email ("spam");
  • mass unsolicited communications;
  • phishing campaigns;
  • fraudulent communications;
  • impersonation;
  • harassment;
  • distribution of malicious attachments;
  • distribution of unlawful content.

Customers are responsible for ensuring that communications comply with all applicable anti-spam and electronic communications laws.


13. Websites, Widgets and Published Content

KIMISUITE may allow Customers to publish websites, booking widgets, forms or other publicly accessible content.

Customers remain solely responsible for all published content.

Published content must not:

  • violate applicable law;
  • infringe intellectual property rights;
  • contain malicious code;
  • mislead visitors;
  • impersonate third parties;
  • facilitate fraud;
  • promote illegal products or services.

KIMISUITE reserves the right to disable publicly available content where continued publication presents legal, security or operational risks.


14. File Storage

Customers may upload files only for legitimate business purposes.

Customers must not store or distribute:

  • malware;
  • ransomware;
  • spyware;
  • pirated software;
  • illegal content;
  • unlawful copies of copyrighted material;
  • files intended to compromise other systems.

KIMISUITE may automatically block or remove files that present a security risk or violate this Policy.


15. Fair Use

The KIMISUITE platform is intended for normal business use.

Customers must not intentionally consume excessive resources in a manner that negatively affects other users or the stability of the Services.

Examples include:

  • excessive automated requests;
  • unreasonable storage consumption;
  • excessive background processing;
  • deliberate abuse of infrastructure;
  • repeated creation of unnecessary workspaces;
  • repeated creation of trial accounts.

Where necessary to protect the platform, KIMISUITE may implement reasonable technical limitations including:

  • storage limits;
  • bandwidth limits;
  • request rate limits;
  • user limits;
  • processing limits.

16. Monitoring and Investigation

To protect the platform and its users, KIMISUITE may investigate suspected violations of this Policy.

Such investigations may include:

  • reviewing security logs;
  • analysing technical information;
  • investigating abuse reports;
  • reviewing suspicious activity;
  • preserving evidence where required by law.

KIMISUITE will always seek to minimise access to Customer Data and will only access such data where reasonably necessary to investigate security, legal or operational issues.


17. Enforcement

Where KIMISUITE reasonably believes that this Policy has been violated, we may take one or more of the following actions:

  • issue a warning;
  • temporarily restrict specific features;
  • suspend individual user accounts;
  • suspend access to affected applications;
  • remove unlawful content;
  • disable hosted websites or widgets;
  • suspend a workspace;
  • terminate subscriptions;
  • permanently terminate accounts;
  • report unlawful activities to competent authorities where legally required.

The measures taken will generally be proportionate to the severity of the violation.

In urgent situations involving security, fraud or unlawful activity, KIMISUITE may act immediately without prior notice.


18. Reporting Abuse

If you become aware of misuse of the KIMISUITE platform, please notify us as soon as possible.

Reports should include, where possible:

  • a description of the issue;
  • the affected workspace or website;
  • relevant URLs;
  • screenshots or supporting evidence.

All reports are reviewed in good faith.


19. Customer Responsibility

Customers are responsible for:

  • all activities performed within their workspaces;
  • all invited users;
  • all uploaded content;
  • all published websites;
  • all generated documents;
  • all AI-generated content;
  • ensuring compliance with applicable laws.

The Workspace Owner remains responsible for managing permissions and ensuring that authorised users comply with this Policy.


20. Changes to this Policy

KIMISUITE may update this Acceptable Use Policy from time to time to reflect:

  • legal developments;
  • security requirements;
  • platform improvements;
  • new services;
  • operational requirements.

Material changes may be communicated through the KIMISUITE platform, email or other appropriate means.

Continued use of the Services following the effective date of an updated version constitutes acceptance of the revised Policy.
