AI Usage Policy

1. Purpose

This AI Usage Policy forms part of the KIMISUITE Terms and Conditions and applies to all artificial intelligence ("AI") features made available through the KIMISUITE platform.

The purpose of this Policy is to explain how AI features may be used, the responsibilities of Customers and the limitations of AI-generated content.


2. Scope

This Policy applies to all AI-powered features offered by KIMISUITE, including but not limited to:

  • AI assistants;
  • text generation;
  • summarisation;
  • translations;
  • content suggestions;
  • automation assistance;
  • document generation;
  • data analysis;
  • future AI-powered applications released by KIMISUITE.

The availability of AI features depends on the subscribed applications and may change over time.


3. AI is an Assistance Tool

AI features are designed to assist users and improve productivity.

AI-generated output is provided for informational and operational purposes only.

AI should support human decision-making and must not replace professional judgement.

Customers remain solely responsible for reviewing, validating and approving all AI-generated output before using it.


4. Accuracy of AI Output

Artificial intelligence may produce:

  • inaccurate information;
  • incomplete information;
  • outdated information;
  • misleading information;
  • incorrect calculations;
  • fabricated references;
  • unexpected results.

KIMISUITE does not guarantee the accuracy, completeness or reliability of AI-generated output.

Customers must independently verify AI-generated content before relying upon it.


5. Professional Advice

AI-generated content must not be considered:

  • legal advice;
  • accounting advice;
  • tax advice;
  • financial advice;
  • medical advice;
  • engineering advice;
  • regulatory advice;
  • compliance advice.

Where professional advice is required, Customers should consult appropriately qualified professionals.


6. Customer Responsibilities

Customers remain solely responsible for:

  • prompts submitted to AI features;
  • decisions based on AI output;
  • reviewing generated content;
  • ensuring legal compliance;
  • verifying factual accuracy;
  • compliance with intellectual property rights.

AI output should always be reviewed before publication or distribution.


7. Acceptable AI Use

Customers may use AI features for legitimate business purposes, including:

  • drafting documents;
  • generating content;
  • summarising information;
  • brainstorming;
  • translation;
  • productivity assistance;
  • workflow automation;
  • internal business support.

All AI use must comply with the KIMISUITE Acceptable Use Policy.


8. Prohibited AI Use

Customers must not use AI features to:

  • generate unlawful content;
  • facilitate fraud;
  • impersonate individuals;
  • generate phishing material;
  • create malware;
  • spread misinformation intentionally;
  • violate intellectual property rights;
  • violate privacy laws;
  • generate abusive or harmful content;
  • attempt to bypass security controls.

KIMISUITE may suspend or restrict AI access where misuse is detected.


9. Confidential Information

Customers should exercise caution before submitting confidential or sensitive information to AI features.

Where third-party AI providers are used, only the information reasonably necessary to provide the requested functionality should be submitted.

Customers remain responsible for ensuring that they are legally permitted to process any Personal Data through AI features.


10. Intellectual Property

Customers remain responsible for ensuring that AI-generated content does not infringe third-party intellectual property rights.

KIMISUITE does not guarantee that AI-generated content is unique or free from third-party rights.

Customers should independently review generated content before commercial use.


11. Availability

AI features may be:

  • modified;
  • updated;
  • temporarily unavailable;
  • rate limited;
  • discontinued.

KIMISUITE does not guarantee uninterrupted availability of AI services.

Availability may depend on third-party AI providers and infrastructure.


12. Fair Use

To ensure fair access for all Customers, KIMISUITE may apply reasonable limitations to AI usage, including:

  • request limits;
  • daily usage limits;
  • monthly usage limits;
  • processing limits;
  • subscription-based usage limits.

Such limits may change over time.


13. Third-Party AI Providers

Certain AI functionality may rely on third-party providers.

Where applicable, Customer prompts or data required to fulfil an AI request may be transmitted securely to such providers solely for the purpose of generating the requested response.

KIMISUITE carefully selects AI providers but cannot guarantee the availability or performance of third-party AI services.


14. Limitation of Liability

To the maximum extent permitted by law, KIMISUITE shall not be liable for any loss, damage or claim arising from:

  • reliance on AI-generated content;
  • inaccurate AI output;
  • omitted information;
  • interrupted AI availability;
  • decisions made using AI-generated content.

Customers remain solely responsible for all business decisions based on AI output.


15. Changes to this Policy

KIMISUITE may update this AI Usage Policy from time to time to reflect technological developments, legal requirements or changes to AI functionality.

Material changes may be communicated through the platform or by email where appropriate.
