Per-user pricing adds a line to the bill with every hire. Per-workspace pricing moves in steps. A worked example for a team of 12, including where per-user pricing can still come out cheaper.

Priced per Workspace, Not per User: What It Means for a Team of 12

Most business software charges per user: every new colleague adds another seat to the monthly bill. KIMISUITE charges per workspace instead. This post explains what that difference means in money, using one ordinary example: a team of 12.

How the workspace model works

KIMISUITE is a workspace with an App Store inside it. You register once, and the workspace belongs to you. What you pay for are the apps you switch on in it.

The member tier is an add-on, not a replacement. You keep paying for your apps, and once the team grows past the 10 included members you add the tier that fits the headcount. It covers the whole workspace, so a second or third app does not charge for the same people again.

The example: a team of 12

Take a small agency with 12 people. They need a CRM with invoicing. Everyone in the team should be able to look up a client, log a call or check whether an invoice went out.

Per-user pricing. For comparison we use an illustrative assumption, not the price of any specific product: a CRM that costs €15 per user per month. Twelve users cost €180 a month, and every further hire adds another €15.

Per-workspace pricing. In KIMISUITE the agency subscribes to CRM Business Hub on the plan whose functions it needs. That plan already includes 10 members. Twelve people are two more than that, so the agency adds one member tier, Grow, which covers up to 20 members. That is the whole bill: one app plan plus one tier, for all twelve people.

What happens when the team grows

The difference becomes clearer when the headcount changes. Same assumptions as above:

With per-user pricing, every hire is a line on the invoice. With per-workspace pricing, the price moves in steps: hiring the 13th, 14th or 20th person costs nothing extra. The next step only comes at 21.

Where per-user pricing can still be cheaper

To be fair about it: per-user pricing is not always worse.

  • Very small teams. One or two users on a low per-user price can pay less than an app's entry plan. If you work alone and need only one tool, compare honestly.
  • Plans follow features. In KIMISUITE the app price depends on the plan you choose. A larger CRM plan with more functions costs more than the entry plan used above, whatever the team size.
  • Occasional users. Some tools do not charge for read-only users. If most of your team only looks, a per-user product with free viewer seats can come out close.

The per-workspace model pays off where teams grow, where many people need real access, and where several apps are used side by side, because the member tier is paid once for the workspace, not once per app.

A few details that matter in practice

  • Only the owner subscribes. The person who created the workspace decides which apps are added. A colleague who needs an app sends a request instead of subscribing on their own. Costs stay with the person who carries them.
  • Invited people get their own workspace. Everyone you invite gets their own KIMISUITE account with a free workspace and the free apps, plus access to yours.
  • More businesses, one login. If you run two businesses, create two workspaces. Each has its own apps, team and billing, and you switch between them without logging out.
