The question every vendor avoids
Most software vendors are happy to onboard you. The signup flow is polished, the welcome email is friendly, the first 14 days are full of attention.
Cancellation is treated differently.
The cancellation experience often becomes a maze of dark patterns, hidden buttons, retention offers, multi-step confirmations and ambiguous language about what will happen to your data once you are gone.
We chose to handle it the opposite way.
What we believe
A business should be able to leave KIMISUITE the same way they joined — clearly, with full information, and without artificial friction.
A vendor who only treats you well as long as you are paying is not really treating you well.
So this article exists for one reason: to describe, plainly, what happens to your data when a KIMISUITE subscription ends.
You can cancel at any time
There is no minimum contract length on monthly subscriptions. There is no early-termination penalty. There is no "you must give 90 days' notice in writing" clause.
Cancellation is a self-service action you can perform from within your account.
We do not require you to call a salesperson, fill out a retention form, or explain your reasons. If you decide KIMISUITE is no longer the right fit, you do not have to negotiate to leave.
The day you cancel
When you cancel a subscription, the change applies at the end of your current billing period. You keep access until the end of the period you have already paid for. You are not double-charged. You are not partially refunded prematurely.
Your workspace continues to work as normal until the period ends.
If you cancel during a free trial, your account does not convert to a paid plan, and you are not charged.
Exporting your business data
Before your access ends, you can export the business data that lives inside your workspace.
This includes the data the applications produce: customer records, invoices, bookings, contacts, documents, and content you have created. We aim to make this export practical, not just technically possible — the goal is that you can take what you need with you.
The detailed export formats and steps are documented in the in-product help, since they evolve with each application.
What happens after access ends
After your subscription expires, your workspace enters a defined retention window. During that window, the workspace is no longer accessible from the application — but the underlying business data is retained so that an account can be re-activated without loss if you change your mind.
Retention windows and exact procedures are described in the Refund & Cancellation Policy and Privacy Policy. They are not buried — both documents are in the footer of every page.
After the retention window, business data is permanently deleted from active systems, subject to legal and regulatory obligations that may require longer retention of certain records (invoices and tax records, for example, are typically retained for the duration required by applicable law).
What we deliberately do not do
We do not auto-renew you into a higher-priced plan to make leaving harder.
We do not keep your old data "warm" indefinitely so we can re-onboard you later.
We do not silently retain backup copies forever as a hedge against potential future use.
We do not lock exported data behind premium add-ons.
We do not sell or share customer data after termination — for the same reasons we do not share it before termination.
Why this matters
The way a SaaS vendor handles cancellation tells you what they really think about their customers.
A vendor who designs friction into leaving is signalling that retention by inconvenience is part of their business model. A vendor who designs leaving the way they designed joining is signalling something more confident: that the product is worth keeping on its own merits.
The same applies to data treatment. A vendor who buries cancellation in fine print is usually doing the same with privacy.
What you keep when you stay
This article is about cancellation. But it is also implicitly about staying.
When customers stay with KIMISUITE, they stay because the platform earns it — through reliability, transparency, ongoing improvements and predictable pricing. Not because leaving is artificially expensive.
We think that is a healthier reason for a customer relationship to continue.
Final thoughts
If you have ever sat through a cancellation funnel designed to discourage you, you know what we are describing.
We chose not to build that funnel.
You can subscribe, you can use the platform, you can export your data, you can cancel — all without surprises.
That is what we believe business software should look like.
