Most jurisdictions allow a reasonable handling fee in the rental contract. Typical range is €30–€80. Check local consumer protection law and disclose the fee at signing — surprise fees lose every dispute.

What if the damage is below the excess?

The customer pays the full damage amount (capped at the excess) plus your admin fee. Insurance does not get involved. The "company absorbs" line is €0 in this case.

Should I waive the excess for repeat customers?

Some operators offer a "loyalty waiver" or reduce the excess by 20–30% after N rentals. Done well, it improves retention. Done badly, it becomes an expectation that erodes margin.
